Frequently asked questions
What is AureaDesk?
AureaDesk is developed for TOPdesk and offers built-in analyses, as a SaaS solution hosted in the Netherlands. You see incidents, changes, operational activities, assets and operator licences together in one place, with Workload as the overall picture. The Asset Management, Operator License Management and Workload views are in Pro and Enterprise; Operations Management is a module from Pro, included in Enterprise. What each package includes is on the Pricing page.
Does anything change in my TOPdesk environment?
No. AureaDesk reads through the standard TOPdesk API and writes nothing back. AureaDesk reads through the API, like other integrations. Let the administrator of your TOPdesk environment know that the connection is there. Nothing is installed, nothing changes in your configuration, and you can cut the connection at any moment by disabling the API account or revoking its application token (in older TOPdesk versions: application password).
Do I need Power BI or another BI licence?
No. That is precisely the difference with many TOPdesk dashboards, which are delivered as a Power BI report. AureaDesk is its own hosted environment: you sign in and see the figures. All you need is a browser.
Is AureaDesk a cloud solution?
Yes. AureaDesk is SaaS (software as a service): you install nothing. We host and manage the service in a data centre in the Netherlands. You only connect your TOPdesk environment, with an application token with read rights.
How does AureaDesk calculate estimates and signals?
AureaDesk calculates everything from your own TOPdesk data, using fixed calculation rules. The calculations take place in your own AureaDesk environment and in the dashboard in your browser, without an external calculation service. The parties we use for hosting and email are listed in the data processing agreement.
- Outlook (in every package): the average of earlier periods of the same length, shown in the charts with the range. The outlook appears when there is enough history.
- Notable changes (in every package): spikes and dips outside the normal range of your own earlier figures.
- Control chart (in Pro and Enterprise): a centre line and control limits from the latest full weeks.
- Expected completion (in Pro and Enterprise): based on earlier comparable incidents or changes. An estimate, not a promise and not a deadline.
- Signals (in every package): fixed rules on your own figures, the most critical signals first.
Does it work with every TOPdesk environment?
AureaDesk works with TOPdesk SaaS with API access and reads through the standard TOPdesk API. AureaDesk shows the parts that are in your TOPdesk licence. Which views you get depends on your AureaDesk package (Standard, Pro or Enterprise). Before connecting, we ask about the size of your environment so that we can tailor the set-up to it.
Does AureaDesk work on a phone?
Yes, in your phone or tablet browser. There is no separate app to install. The screen adapts: filters collapse into one menu, tiles stack, and the views scroll sideways.
Which languages is AureaDesk available in?
Available in Dutch, English, German and French in every package. Each user chooses their preferred language in the account menu. Emails to that user are sent automatically in the chosen language.
Data from TOPdesk, such as categories, statuses and operator group names, keeps the language of your TOPdesk environment. We offer documentation and support in Dutch and English.
How current are the figures?
Up to date. AureaDesk retrieves the data from TOPdesk automatically and updates the dashboard, even when nobody is looking. The screen shows the data last retrieved; your active filters, the chosen view and an open detail window stay as they are. An administrator sees per component when data was last retrieved.
Can I also look back at the period before connecting?
The incidents, changes and activities themselves, yes, up to 12 months back: AureaDesk shows what has been registered or closed in TOPdesk in the last 12 months (24 months with Enterprise), and what is still open. AureaDesk shows assets as they were in TOPdesk at the last retrieval. AureaDesk shows no archived cards. An outlook appears when enough history has been built up.
What is the TOPdesk reporting connection?
The route per incident via operator groups, the status timeline, the time in the current status and the reopened incidents come from the TOPdesk reporting feed. AureaDesk reads only the table with the blocks per incident from it. The connection runs on the same API account as the regular connection, with a second application token; an additional TOPdesk operator licence is not needed. Your administrator switches on the right for the reporting feed and can switch it off again at any time.
How many users have access?
That depends on your package: Standard 10 users, Pro 20 and Enterprise 40. If you need more, you can add users one at a time: €25 per month on Standard (up to 19 in total) and €20 on Pro (up to 50 in total). Enterprise suits organisations with many cards in TOPdesk, with several TOPdesk environments, or with more than fifty users. You create accounts yourself in the management screen; all accounts count, including blocked ones. Request additional users from sales@aureadesk.com; they take effect on the first day of the month after our confirmation.
We do not use Reservations Management or Operations Management in TOPdesk. Do we pay for them in Enterprise?
No. The Enterprise price covers the own virtual server, 40 users, 24 months of history and the outlook up to 6 months. Operations Management and Reservations Management are included for organisations that use these TOPdesk modules. If you do not use them, they are switched off and cost nothing extra.
What are signals?
The dashboard itself points out what stands out, using fixed rules on your own figures. On the Overview and at the top of the report email you see, for example, a major incident still open, incidents about to breach their SLA, inflow above the usual level, emergency changes or activities past their planned end date. On top of that you get a message by email, Microsoft Teams or Slack when a key figure crosses a threshold you set yourself. AureaDesk checks this periodically on the retrieved data. Every package has the signals on the Overview and email signals on key figures of Incident Management. Pro and Enterprise also have signals on key figures outside Incident Management and signals in Teams and Slack.
Can I receive signals in Microsoft Teams or Slack?
Yes, in Pro and Enterprise. On a signal an administrator adds a webhook URL next to the email address: in Teams you create it through Workflows, in Slack through an Incoming Webhook. AureaDesk then sends only the name of the key figure, the current value and the threshold. The URL is stored encrypted.
Are there setup or consultancy fees?
No. Connecting to your TOPdesk environment is free, on every package: AureaDesk sets up your environment and verifies the connection without an invoice attached. Help creating the API account in TOPdesk is included as well.
